The 2014 LMS AGM has been set for the 20th July, 2014.

Time: 2pm – 4pm
Date: 20th July, 2014
Location: the location is now at the Leongatha Community House situated at 16 Bruce St, Leongatha.

The meeting will start at 2pm sharp. A financial report will be given and signed off to submit to Consumer Affairs. Then all positions will be passed in and then re-opened via nominations and secured by voting of those that attend and those that have lodged nominations/votes via email prior to 16th July, 2014. (please see below for postal/ email voting.)
Voting may also be done via telephone during the meeting. Please PM Silverlady for a Phone Number that will be used for this purpose during the meeting.)

If you require information about the roles and responsibilities of being an LMS Committee Member, be it a designated core position or a general committee member, please PM Silverlady with your email contact and the position/s you are interested in no later than 11th July, 2014. (please note: the closing date for received applications is the 16th July, 2014, as noted above.)

2013/14 LMS Inc. Positions currently filled are:

1. President – Dean Collard
2. Vice President – Barbara Gray
3. Secretary – Tristyn Smith
4. Vintenar ( Captain of Archery ) – Robert Serafino
5. Safety Officer – Robert Serafino
6. Arms Officer (Combat training) – Dean Collard
7. Treasurer – Fraser Scott
8. Media Officer – Morgan Fisher
(2 new positions are currently under trial and subject to ongoing approval at the 2014/15 AGM.
Events Co-ordinator – Barbara Gray
Merchandise – Wendy Jones)

2014/15 LMS Inc. Positions to be filled are:

1. President
2. Vice President
3. Secretary
4. Vintenar - Captain of Archery
5. Safety Officer
6. Arms Officer
7. Treasurer

Once these positions are filled and secured, current Full Membership members (18yrs +) of the club can nominate new positions which will then be put before the new official committee and are then subject to approval. The response will be announced at the next following Committee Meeting in the new financial year. (Date, time and location of Committee Meetings for 2014/15 are yet to be negotiated and confirmed). Applications need to be in writing, postal delivered, outlined with the projection of the new position and a statement of commitment.

The new financial year meeting for 2014/15 will then begin with a briefing of the projection for the year ahead. Members are then invited to open new topics or address any club related questions. If these topics require further ongoing discussion, they will be adjourned until the next Committee meeting after the AGM.

Postal /email votes: If you are unable to attend and would like to nominate someone or yourself for a position please do so in writing and email it to the Secretary no later than the 26th June, 2014.

Due to there being hung vote for Presidency there will now have to be a paper ballot at a new General meeting. The date, time, venue will be put up on forum as paper ballots are sent out. Members will need to post in votes or attend the meeting and hand it in on the night pre-meeting.
So details will go up ASAP.

Suggested that at the meeting or Rock Paper Scissors =)
No there will be an email going out to members.
Only Full Members are eligible to vote and a date will be set for another meeting for us to attend or vote by proxy paper ballot (for those who want one)

Attending:
Barbara Gray, Robert Serefino, Tristyn Smith, Dean Collard, Donna Rowney, Neil Rowney, Charlotte Rowney, Lester Berryman, Mark Beattie, Alex Jones, Wendy Jones
Apologies:
Fraser Scott, Morgan Fisher, Alex Gordon, Andrew Mercer


2013-2014 Committee Disbanded

Committee Positions
Donna called for the election of the 2014-2015 President
Nominated were Barbara and Dean
A vote by show of hands was held and came to a draw leaving this position in a hung vote. This will be decided by a vote offered at a General Meeting with Paper Ballot available.
Vice President: Tristyn Nominated Barbara, Barbara withheld acceptance of the position pending the results of the ballot for Presidency.
Secretary: Tristyn Smith
Treasurer: Fraser Scott
Vintinar: Robert Serefino
Sergeant at Arms: Dean Collard

With these positions filled Tristyn as Secretary conducted the meeting due to the Presidency positions remaining vacant.

Further Committee Positions
Safety Officer: Proposed by Dean seconded by Barbara, The position of Safety Officer is now to be a shared title among the whole committee to ensure that there will be at least one person responsible and able to attend all events.
Media Officer: Proposed by Tristyn, Seconded by Barbara, The position of Media Officer has been removed from committee.
Black Griffins Representative: Proposed by Tristyn, Seconded by Barbara, The Position of BB’s Rep has been removed in light of the Black Griffins becoming their own independent group.

Proposed position of Event Organiser by Barbara, Seconded by Robert, This position will be
responsible for the contact and organisation of events for the club.
Event organiser: Barbara Gray
Proposed position of Committee Member by Tristyn, Seconded by Barbara, This position will act as staff to other committee members and be responsible for proposing merchandising ideas and implementation.
Committee Member: Wendy Jones

Financial Report for 2013-2014
Total Income $2425.00
Total Expenditure $1357.30
Balance at end of financial year $2021.98

Finance
Proposed by Barbara, Seconded by Dean, Making internet banking available to the treasurer and signatories to facilitate ease of transactions, and the addition of another two signatories Dean and Jayne to ease availability issues for transactions regarding the LMS Bank Account.
Barbara will research the matter further to determine if this will be viable with the bank.
Proposed by Robert, Seconde by Barbara, The use of a cash Float or Petty Cash box of around $400-$500 for immediate club use.
Barbara has pointed out that LMS needs to be more diligent in noting any movement in
finance including petty cash and maintaining receipts,. Receipt books will now be held by
Signatories.
Barb is researching funding for use in merchandising for the club.
A reminder to members that LMS is a not or profit organisation and that no individual may receive moneys for their participation, however LMS may fundraise to benefit its members in such ways as fundraising to give a petrol allowance to encourage members to attend events that are far from home when attending as a group for display ( eg: Timeline in
Ballarat).

Confirm Previous AGM
Proposed changes the LMS Rules.
A big thank you to Barbara who worked hard to produce the new and revised Rules for LMS to allow us to comply with the changes to the Associated Incorporations Act.
A copy of these rules is available through the LMS website as well as the LMS Bylaws.

Djinta Djinta Winery, Opening Ceremony for their new Armoured Wines
LMS Royal Hunt
The Loch Good Friday Appeal
Rotary Club evening for local groups
700th Anniversary of the Battle of Bannockburn, invited by the White Company

General Business
Dean Proposed LMS sell the club trailer as it has been in disuse and disrepair for a number of years and is costing LMS each year for its registration, Seconded by Robert. Paul has
expressed interest in purchasing the trailer and Barbara will contact Paul to find out his offer.

ALHF Rule Changes. Tristyn will be posting a link on the forum to ALHF and the Victorian Sword Laws. The committee encourage all members to read these Rules and Laws.

The Black Griffins Traditional Archers have become independent from LMS, The Committee have agreed that all funds in the LMS Black Griffins bank account will be kept by the Black Griffins and that the LMS BG’s account will be shut down with all funds being moved to The Black Griffins own account, this is due to the LMS BG’s account having



Upcoming Events
Probus: 19th August LMS has been invited to come along and represent our club at the
Probus meet.
Timeline: 28th August-1st September LMS will be unable to provide a full contingent and will instead be accepting the White Company invite to bulk out their numbers.
Timeline 2015: LMS will be making a definitive effort to encourage our members to attend on mass.
Yarram Show: 22nd November Barb has inspected the sight and thinks we will be able to do archery and take the LMS tent. Yarram have offered LMS $400 for attending, to encourage attendance Rob has looked into the hiring of a mini bus for the day.
